Omnibus sampling/field protocols

Samples: The Voyageur/Pioneer omnibus surveys will use samples exclusively from Survey Sampling International (SSI) and similar independent panel providers. This will ensure all participants have “opted in” and that the sample has been vetted for all privacy and confidentiality concerns.

Judicious use: We guarantee that no potential respondent will be contacted more that twice a year, and that, wherever possible, we will limit contact to once per year per panel member.

Representative distribution: Our completions will reflect the population distribution by region, with the clear understanding that this is an online sample and survey (see table, approximate population distributions and our quotas).

Survey time-lines: No survey will exceed 15 minutes. Where a longer survey is required, our team will obtain more panel samples and program the survey to efficiently rotate sections to meet this guarantee.

Language: In our experience, most clients are seeking an English-only online survey. However, should you require an entire questionnaire fielded in French/Spanish, you can simply provide us with an approved translation of the questionnaire. As we already have the key demographic questions translated, this is primarily a programming issue. If there is a quota on language, this will be treated as an over-sample, and will be charged accordingly. If the entire survey is to be fielded in two languages, there will be no over-sample cost. Translation services are available; Zinc tank will bill you for the cost of the translation plus an administration fee.

Over-sampling: If you require a sample boost by region/demographic, we will complete the base omnibus sample (n=1,200) and subsequently continue the survey with your specific question(s) to meet your quota requirement.

Mail engine reinvestment: All project partners are committed to reinvesting in panel contact mailing procedures to deal with ongoing matters of Internet security and more restrictive spam controls. We have multiple-redundancy for data protection. To minimize downtime, we employ distributed services and a multi-homed Internet backbone service with full power outage protection.

Client Protocols

Client confidentiality/non-disclosure agreements: To ensure your information is protected, we sign a confidentiality and non-disclosure agreement that covers a host of related issues and subsequent omnibus data usage for a period of two (2) years.

Compliance: Our survey teams abide by the code of ethics of the Marketing Research & Intelligence Association of Canada (MRIA), the Marketing Research Association (MRA), and applicable federal legislation governing privacy and protection of personal information.

Quotations & sign-offs: For each project, we provide a quote and contract. The contract will identify the undertaking (referencing the quote) and the terms. Sign-off on the project terms will be required by both parties to ensure mutual clarity and understanding.

Billing: Clients are invoiced for the entire amount of the omnibus services contracted.

Turnaround: Once you have completed and approved the survey, you will receive a set of data tables within five (5) business days, or, if over-samples are required, seven (7) business days.

Revisions & questionnaire quality: Any concerns on questionnaires (e.g., flow, wording and quality/ethical concerns) will be addressed without delay. Revisions to the programmed survey will be subject to an additional fee.
